Role Purpose & Overview
At Loadpoint Limited, we design and manufacture world-class, high-precision micro-machining and air bearing solutions. We are a dedicated, tight-knit team experiencing rapid business growth. Because we are a lean organization, we believe in collaborative execution rather than rigid corporate silos.
The Business Operations Support Officer acts as the central operational "engine room" and connective tissue for our Ferndown site. Reporting directly to the General Manager and working alongside the Technical Director, this dynamic, multi-hat role is designed to alleviate departmental pressure, streamline factory workflows, manage international logistics, and bridge communication gaps between local operations and our global teams. This is a vital position built to support scaling operations, maintain business continuity during leave, and directly drive on-time delivery and customer satisfaction.
Core Functional Responsibilities ("What You Will Do")
A. Commercial & Sales Administration
· Order Lifecycle Management: Own the end-to-end sales order entry workflow, manage customer account setups, handle scheduling/re-scheduling, issue order acknowledgements, and generate final customer invoices.
· Quotations & Pricing: Evaluate technical requirements and generate precise pricing for sales quotations based on actual material costs and engineering estimates.
· Client Front-Desk: Serve as the primary point of contact for incoming product enquiries, capture customer concerns/complaints, and systematically update the CRM database.
· Performance Reporting: Track commercial metrics and compile weekly and monthly operational reporting tables and graphs for management review.
B. Operations, Stock Control & Project Coordination
· Project Engineering Support: Provide hands-on administrative tracking to power the delivery of ongoing product development programme and engineering timelines.
· Stock Control & Inventory Monitoring: Take ownership of stock control monitoring. Regularly review stock sheets, monitor aging/slow-moving inventory, and audit book valuations to provide accurate reports for management and finance teams.
· Profitability Analysis: Actively monitor and check monthly profitability reports in collaboration with management to ensure accurate performance evaluation of engineering and factory projects.
· Continuous Improvement: Support management with documentation and resource coordination for business improvement programs utilizing Lean manufacturing or 5S methodologies.
· Meeting Governance: Attend internal management reviews to record critical milestones, publish prompt action plans, and rigorously track follow-through to ensure project deadlines are met.
C. Import, Export & Logistics Administration
· Shipment Coordination: Manage collections, deliveries, and freight bookings with carriers and international logistics partners.
· Documentation Preparation: Create, verify, and complete commercial invoices, packing lists, certificates of origin, and international customs documentation.
· Customs Compliance: Ensure all import and export activities fully meet customs requirements and international regulatory standards.
· Carrier Liaison: Communicate proactively with freight forwarders and couriers to promptly resolve shipping bottlenecks, custom holds, or delays.
· Customer Tracking Updates: Provide international and domestic customers with transparent shipping updates, dispatch documentation, and delivery tracking information.
D. HR Support & Office Administration
· HR Support: Coordinate localized personnel records, maintain confidential employee files, manage standard on-boarding documentation packages, and monitor internal team schedules.
· Financial Liaison & Basic Admin: Facilitate day-to-day accounts handling, perform local invoice matching, and serve as the main operational site liaison for external accounting resources and corporate finance rules.
· Executive Support: Provide ad-hoc organizational and reporting support directly to the Technical Director and General Manager to streamline executive workflows and ensure daily office logistics run seamlessly.
